Replacing spreadsheets with a secure customer portal

A distributor gave customers and staff a web portal for orders, account details and reports.

The challenge

Customers placed orders by email and phone, then called to check status. Staff re-typed orders into spreadsheets and the accounting system, and sales reports were compiled by hand each week.

Mistakes in re-typed orders led to wrong shipments and disputes.

Our approach

  1. Understand each user

We mapped what customers, sales staff and managers each need to see and do.

  2. Design secure access

Role-based logins show each customer only their own orders and invoices.

  3. Integrate existing systems

The portal connects to the accounting and inventory systems, removing re-typing.

  4. Build dashboards

Managers see sales and order status without waiting for weekly reports.

The solution

Customers now log in to place orders, track them and download invoices. Orders flow straight into accounting and inventory, and managers see live sales dashboards.

Staff spend less time on data entry and phone calls, and order errors have dropped.

  • Customer self-service for orders and invoices
  • Role-based secure access
  • Direct integration with accounting and inventory
  • Live sales and order dashboards
